The type of personal information we collect

We currently collect and process the following information:

• Contact information such as name, title, address, telephone number, mobile phone number and email address.
• Payment data, such as data necessary for processing payments and fraud prevention, including bank and building society account details.

In general, you will be able to choose whether or not to provide us with your personal data. If you do not provide the personal data that we need to collect then this may affect our ability to act on your behalf or to provide services to you, for example because this personal data is required to process your payroll and/or payments. If you do not provide personal data we ask for, it may delay or prevent us from providing services to you.

How and why we collect your personal data

We collect most of this information from you:

• When you contact us to provide services
• When you provide information through our website
• When you make an enquiry about our services
• When you complete our service agreement (Contract)
• When you complete our payroll forms

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• To provide a service for which you have contracted us
• To comply with our legal and statutory obligation
• Where you have given consent

We may share this information with HMRC, The Pensions Regulator and NEST Pensions as required as part of our contract with you.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

• We have a contractual obligation.

How we store your personal information

Your information is securely stored and backed up using cloud storage.  We will take appropriate technical and organisational measures to keep your personal data confidential and secure. We have appropriate security measures in place which take account, in particular, of the risks arising from accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to personal data. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We keep your personal information for the purpose of providing a service to you.  As well as this we have a duty to keep payroll records for 3 tax years plus the current tax year.  Some records must be kept for 6 years for tax purposes.  When appropriate we dispose of the information by deletion from our devices and backups held in cloud storage.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
